We only collect information necessary to deliver and improve your CPD experience:
- Identity verification data: your name, surname, SA ID number or passport number, and uploaded ID/passport images used solely for identity verification and certificate accuracy.
- Account details: email address, password, and any information you provide when signing up or contacting us.
- Professional profile data: your selected CPD roles (e.g., FAIS, SAICA, Compliance Institute) and, where applicable, your membership registration date to calculate your CPD cycle.
- Learning data: modules viewed, progress, assessments, certificates, CPD hours earned.
- Payment information: processed securely by third party payment providers. We do not store payment card numbers.
- Technical data: IP address, device type, browser type, pages visited, time spent, and basic analytics. This may include Google Analytics or similar tools.
- Communication data: messages you send to us, support requests, and marketing preferences.
We do not intentionally collect special categories of personal information (e.g., health, race, religious beliefs), other than identity documents provided for verification purposes.
1.2 How we use your information
We use your information to:
- create and manage your Easy Institute account
- provide access to courses and track CPD progress
- issue certificates and maintain learning records
- verify your identity to prevent impersonation or fraudulent CPD claims
- respond to queries and provide support
- send essential service messages (account, security, platform updates)
- send optional learning updates or marketing (only with your consent)
- improve our content, platform, and user experience
- comply with legal, tax, audit, or regulatory obligations
We do not sell your personal information.
1.3 Legal basis for processing
We process your information based on:

- Legal obligation: where we must retain records for tax or regulatory purposes

- Professional bodies or regulators: where necessary to verify CPD or respond to lawful requests

All service providers are required to protect your information and may not use it for their own marketing.
We do not sell or trade your information.
Where information is transferred outside South Africa (for example, to service providers in the United States or Europe), we ensure appropriate safeguards are in place as required by POPIA.
1.5 How we protect your information
We use reasonable technical and organisational measures, including:
- encrypted connections (HTTPS)
- access controls and authentication
- secure third-party payment processing
- restricted access to personal data
We do not store payment card numbers.
No system is 100% secure, but we take appropriate steps to reduce risk and respond promptly to issues.
1.6 How long we keep your information

- maintain accurate CPD and learning records
- comply with legal, tax, or regulatory obligations
- resolve disputes and enforce agreements
CPD records are generally retained for 5 years, or longer where required by law or professional bodies.
Identity documents are retained only as long as necessary for verification and audit purposes, after which they are securely deleted.
1.7 Your rights under POPIA
You may:
- request access to your personal information
- ask us to correct or update your details
- request deletion of your information (unless we must retain it legally)
- object to certain types of processing
- withdraw consent for optional communications

You must ensure that your personal information, including your name and ID number, is accurate for certificate issuance.
3.3 CPD, accreditation and certificates
Easy Institute provides CPD modules accredited through a SAQA recognised professional body..
- CPD hours are recorded based on completed modules and assessments (where applicable).
- Certificates are issued through your dashboard.
- You are responsible for ensuring CPD suitability for your role or professional body.
Acceptance of CPD hours remains at the discretion of your employer, licence holder, professional body, or regulator. Easy Institute is not responsible for acceptance decisions made by third parties.
3.4 CPD methodology
To ensure accuracy and consistency:
- CPD hours are based on structured learning time.
- Video duration, activities, and assessments contribute to total hours.
- Completion is required for hours to count.
- Records are retained for 5 years.
3.5 Payments, subscriptions and refunds
Unless otherwise stated:
- fees are payable in advance
- access continues for the duration of your subscription or course period
- refunds are only provided where required by South African consumer law or where explicitly stated for a specific product

Access will only activate once payment is successfully received and verified.
3.6 Intellectual property
All content—including videos, scripts, case studies, illustrations, graphics, and written materials—is owned by Easy Institute or used under licence.
You may not:
- copy, reproduce, distribute, or modify our content
- share course materials with others
- remove copyright or proprietary notices
3.7 Platform availability
We aim for reliable access but may perform maintenance or updates. We do not guarantee uninterrupted service.
3.8 Disclaimers
Our content is for education and professional development. It does not constitute legal, financial, tax, or regulatory advice.
You remain responsible for:

3.9 Limitation of liability
